These terms govern your use of the website and client portal operated by Victoria Property Services Ltd. (“VPS”, “we”, “us”), a company incorporated in British Columbia, registration BC1588146. By using the site or the portal you agree to them. If you do not agree, please do not use them.
1. What the portal is for
The client portal gives property owners, insureds, property managers, building managers and occupants access to information about a specific restoration or repair job. Depending on the access granted to you, it may let you view job documents and photographs, send and receive messages about the job, submit service requests, and review and sign documents such as a work authorization.
2. Access
- Access is granted by VPS for a specific job or building. It is not a general-purpose account and it is not transferable.
- You sign in with a Google account. You are responsible for keeping that account secure, and for anything done through the portal using it.
- Access to a job normally closes 120 days after the work is complete. Download anything you want to keep before then, or ask us for a copy.
- We may suspend or withdraw access at any time, including where a job ends, where access was granted in error, or where these terms are not respected.
3. Acceptable use
You agree not to:
- try to reach a job, building or document you were not given access to;
- share your sign-in with anyone else, or let anyone else sign a document in your name;
- upload anything unlawful, or anything containing malicious code;
- interfere with the operation or security of the site or portal, or attempt to test or circumvent it;
- use anything you find in the portal for any purpose other than the job it relates to.
4. Electronic signatures
Documents may be signed electronically in the portal. By signing electronically you agree that:
- your electronic signature has the same effect as a handwritten signature, as provided for by British Columbia’s Electronic Transactions Act;
- you are the person the document was sent to, and you are authorized to sign it — either because you own the property, or because the owner has authorized you to approve the work;
- we may record, as evidence of the signature, the Google-verified email address used, the date and time from our server, the device used, and a cryptographic fingerprint of the exact document signed.
A document can only be signed by the account it was addressed to. If you receive a link for someone else, do not sign it — tell us and we will re-issue it.
5. Estimates, documents and content
Estimates, scopes of work and other documents in the portal reflect what is known at the time they are prepared. Restoration work regularly uncovers damage that could not be seen beforehand. An estimate is not a fixed price unless it says so, and changes to the scope or the price are made by written change order as set out in the Work Authorization.

6. Intellectual property
The website, the portal, and the documents, layouts and software we produce remain our property. Photographs, reports and estimates prepared for your job are provided for use in connection with that job and your insurance claim. You may keep, copy and share them for that purpose. Any other use, including publication or use by a competitor, requires our written permission.
7. Availability
We aim to keep the portal available, but we do not guarantee it will be uninterrupted or error-free. It depends on services we do not control, including Google. We may change, suspend or discontinue any part of it. The portal is not a means of reaching us in an emergency — for an emergency, call 877-587-2126.
8. Limitation of liability
To the extent permitted by law, VPS is not liable for indirect, incidental, special or consequential loss arising out of your use of the website or the portal, including lost profits or lost data. Nothing in this section limits our obligations under a signed Work Authorization, or any liability that cannot be limited by law.
9. Privacy
Our handling of personal information is described in our Privacy Policy, which forms part of these terms.
10. Changes
We may update these terms from time to time. The date at the top of the page shows when they were last changed. Continuing to use the site or portal after a change means you accept the updated terms.
11. Governing law
These terms are governed by the laws of the Province of British Columbia and the laws of Canada applicable there. The courts of British Columbia have jurisdiction.
